We at Kordis Inc. (“Kordis”) know you and your company care about how your information and data are used and shared, and we take your privacy seriously.  Please read the following to learn more about our Privacy Policy. By using or accessing our Website or any of our products, services or applications (the “Services”) in any manner, you acknowledge that you accept the practices and policies outlined in this Privacy Policy, and you hereby consent that we will collect, use, and share your information in the following ways. 

Remember that your use of Kordis Services is at all times subject to the Terms, which incorporates this Privacy Policy.  Any terms we use in this Privacy Policy without defining them have the definitions given to them in the Terms.

What does this Privacy Policy cover?

While Kordis’s Services are designed for use by business customers, we process some personal data when you use our Services, including when you apply to enroll in Kordis Services. This Privacy Policy covers our treatment of personally identifiable information (“Personal Information”) and company financial and accounting data (“Company Information”) that we gather when you are accessing or using our Services. However, this Privacy Policy does not cover the practices of companies we do not own or control or people that we do not manage.  

We gather various types of Personal Information and Company Information from our users, as explained in more detail below.  This Personal Information and Company Information is used internally in connection with our Services, including, without limitation, our actions taken to personalize, provide, and improve our Services, to allow you to set up a user account and profile, to contact you through the Services, to fulfill your requests for certain products and services, and to analyze how you use the Services. In certain cases, we may also share some Personal Information and Company Information with third parties, as described below.  

As noted in the Terms, in order to use Kordis, you must be at least 18 years old. If we learn that we have collected personal information from anyone under the age of 18 without obtaining verifiable parental consent from that child’s parent or guardian, we will endeavor to delete that information as quickly as possible. 

If you believe that a child under 18 has provided us with personal information (beyond the required information) without our obtaining Parental Consent, please contact us at support@kordis.io.

The Children’s Online Privacy Protection Act (“COPPA”) requires that online service providers obtain parental consent before they knowingly collect personally identifiable information online from children who are under 13.  We urge parents to instruct their children to never give out their real names, addresses, phone numbers, or other personal information, when they are online.

Will Kordis ever change this Privacy Policy?

We are constantly trying to improve our Services, so we may change this Privacy Policy from time to time. We reserve the right to change the Privacy Policy at any time, but if we do, we will alert you to changes by either placing a notice within the Services, on the Website, or sending you an email if you have provided us with such contact information. 

Please note that if you have opted not to receive legal notice emails from us (or you have not provided us with your email address), those legal notices will still govern your use of the Services, and you are still responsible for reading and understanding them. 

If you do not agree with the new Privacy Policy, you may reject them.  However, if the terms are rejected, you will no longer be able to use the Services. If you use the Services in any way after a change to the Terms is made effective, such usage demonstrates agreement with all of the changes. 

What information does Kordis Collect?

Information You Provide to Us:

We receive and store any information you knowingly provide to us. 

For example, through the registration process and/or through your account settings, we may collect Personal Information such as your name, email address, and phone number, as well as Company Information such as the company name, business addresses, corporate structure, and financial information. We may also collect additional information about you or your business, which may be provided by you in response to survey questions, as a part of the registration process, or at other times.

We may communicate with you if you have provided us the means to do so. 

For example, if you have given us your email address, we may send you promotional email offers on behalf of other businesses, or email you about your use of the Services. Also, we may receive a confirmation when you open an email from us. This confirmation helps us make our communications with you more interesting and improve our services. If you do not want to receive communications from us, please indicate your preference by contacting us at support@kordis.io.

You may also be required to provide certain personal or company information to us when you elect to use certain products and services, which may include: (a) registering for an account; (b) entering a sweepstakes or contest sponsored by us or one of our partners; (c) signing up for special offers from selected third parties; (d) sending us an email message; (e) submitting a credit card or other payment information when ordering and purchasing products and services.

Information Collected Automatically 

Whenever you interact with our Services, we (or one of our partners) automatically receive and record information on our server logs from your browser or device, which may include your IP address, device identification, “cookie” or “pixel” information, the type of browser and/or device you are using to access our Services, your operating system, screen resolution, and how you may use, or interact with, our Services, and the page or feature you requested. 

“Cookies” are identifiers we transfer to your browser or device that allow us to recognize your browser or device and tell us how and when pages and features in our Services are visited and by how many people. “Web Beacons” are small electronic files (also referred to as clear gifs, pixel tags, and single-pixel gifs) that permit us, for example, to count users who have visited those pages and for other related statistics (e.g., recording the popularity of certain content and verifying system and server integrity).  We may also use these technical methods to analyze the traffic patterns, such as the frequency with which our users visit various parts of the Services. 

These technical methods may involve the transmission of Personal Information or Company Information either directly to us or to a third party authorized by us to collect Personal Information or Company Information on our behalf.  Our Services may use retargeting pixels from Google, Facebook and other ad networks.  We may also use web beacons in HTML emails that we send to determine whether the recipients have opened those emails and/or clicked on links in those emails. You may be able to change the preferences on your browser or device to prevent or limit your device’s acceptance of cookies, or to opt-out of some automatic data collection features, but this may prevent you from taking advantage of some of the features of the Services. 

Our advertising partners may also transmit cookies, pixels, beacons or other similar tools to your browser or device, or when you click on ads that appear on or within the Services. Also, if you click on a link to a third party website or service, a third party may also transmit cookies, beacons, pixels or similar tools to you. Again, this Privacy Policy does not cover the use of cookies by any third parties, and we are not responsible for their privacy policies and practices.  Please be aware that cookies placed by third parties may continue to track your activities online even after you have left our Services, and those third parties may not honor “Do Not Track” requests you have set using your browser or device. We encourage our users to be aware when they leave our site and to read the privacy statements of any other site that collects personally identifiable information.

We may also use tools such as Google Analytics, a web analytics tool provided by Google that helps websites and online services collect and analyze information about how visitors use and interact with their sites and services, and based on Personal Information collected and analyzed through Google Analytics websites and online services can measure the performance of and make improvements to their sites and services.  Google Analytics uses first-party cookies to track visitor interactions on our website and to collect information about how visitors use the website.  We may use the information collected through Google Analytics to help us understand the demographics, usage patterns and interests, trends, etc. about visitors to the website. 

Google Analytics collects and reports usage information anonymously without identifying any particular visitor individually.  Google’s ability to use and share information collected by Google Analytics about your visits to the website is subject to the Google Analytics Terms of Use published at http://www.google.com/analytics/terms/us.html and the Google Privacy Policy published at http://www.google.com/intl/en/policies/privacy/. Disabling cookies on your browser may be able to prevent Google Analytics from recognizing you on return visits to the website.  Google also offers a browser add-on for users to install to opt out.

We may use this data to customize content for you based on your usage patterns. We may also use it to improve the Services – for example, this data can tell us how often users use a particular feature of the Services, and we can use that knowledge to make the Services interesting to as many users as possible. 

Will Kordis share any of the Personal Information or Company Information it receives?

We neither rent nor sell your Personal Information or Company Information in an identifiable form to anyone. However, we may share your Personal Information or Company Information with the types of third parties as described in this section or elsewhere in this Privacy Policy.  

Agents: We employ other companies and people to perform tasks on our behalf related to the Services, and we need to share your information with them to provide the Services. For example, we may use a payment processing company to receive and process your credit card transactions for us. 

Business Transfers: We may choose to buy or sell assets.  In these types of transactions, customer information is typically one of the business assets that would be transferred.  Also, if we (or our assets) are acquired, or if we go out of business, enter bankruptcy, or go through some other change of control, Personal Information or Company Information could be one of the assets transferred to or acquired by a third party. 

Protection of Kordis and Others: We reserve the right to access, read, preserve, and disclose any information that we believe is necessary to comply with law or court order; enforce or apply our Terms and other agreements; or protect the rights, property, or safety of Kordis, our employees, our users, or others. 

Is Personal Information and Company Information secure?

Access to your account is restricted, requiring a password for your privacy and security.  You must prevent unauthorized access to your account containing Personal Information or Company Information by selecting and protecting your password appropriately and limiting access to your computer or device and browser by signing off after you have finished accessing your account.

We endeavor to protect the privacy of your account and other Personal Information and Company Information that we hold in our records, including the use of standard HTTPS encryption protocols, such as the Secure Sockets Layer (SSL), and other commercially reasonable measures. Unfortunately, we cannot guarantee complete security.  Unauthorized entry or use, hardware or software failure, and other factors, may compromise the security of user information at any time. 

What Personal Information and Company Information can I access?

Through your account settings, you may access, and, in some cases, edit or delete the following information you have provided to us:

  • First and last name
  • email address
  • username
  • password
  • other user profile information and certain content
  • Company name
  • Company address
  • Corporate structure
  • Company financial and accounting information 
  • Company tax returns and filings 

The information you can view, update, and delete may change as the Services change. If you have any questions about viewing or updating information we have on file about you, please contact us at support@kordis.io.    

Certain users may, depending on your location, have additional rights regarding your Personal Information (e.g., users in California and the European Union (EU)).  Some users have the right to view, amend, or delete the Personal Information that we hold about you, or ask us for a notice identifying the categories of Personal Information that we share with our affiliates and/or third parties for marketing purposes, or request the deletion of any email we hold on you at any time. If this applies to you, you should be aware that requesting deletion, unlike unsubscribing from specific emails, is total and irreversible. If you believe you are a user in one of these locations and have any questions relating to your Personal Information or Company Information, please submit a written request to: support@kordis.io.    

Please note that we may not be able to comply with requests to delete your Personal Information if it is necessary to:

  • Complete the transaction for which the Personal Information was collected, fulfill the terms of a written warranty or product recall conducted in accordance with federal law, provide a good or service requested by you, or reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform a contract between you and us;
  • Detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity or prosecute those responsible for that activity;
  • Debug to identify and repair errors that impair existing intended functionality;
  • Exercise free speech, ensure the right of another consumer to exercise his or her right of free speech, or exercise another right provided for by law;
  • Comply with the California Electronic Communications Privacy Act;
  • Engage in public or peer-reviewed scientific, historical, or statistical research in the public interest that adheres to all other applicable ethics and privacy laws, when our deletion of the information is likely to render impossible or seriously impair the achievement of such research, provided we have obtained your informed consent;
  • Enable solely internal uses that are reasonably aligned with your expectations based on your relationship with us;
  • Comply with an existing legal obligation; and/or
  • Otherwise use your personal information, internally, in a lawful manner that is compatible with the context in which you provided the information.

What choices do I have?

You can always opt not to disclose information to us, but keep in mind some information may be needed to register with us or to take advantage of some of our features.

You may be able to add, update, or delete information as explained above. When you update information, however, we may maintain a copy of the unrevised information in our records. You may deactivate your account through the account settings features, however we may retain certain information as permitted under the Terms. Some information may remain in our records after your deletion of such information from your account, unless you are a user in a location which requires permanent deletion of that Personal Information and Company Information. We may use any aggregated data derived from or incorporating your Personal Information after you update or delete it, but not in a manner that would identify you personally.  

Legal Disclosures

We may need to share your Personal Information or Company Information when we believe it is required by law or to help protect the rights and safety of you, us, or others. It is possible that we will need to disclose Personal Information or Company Information when required by law, subpoena, or other legal process or if we have a good faith belief that disclosure is reasonably necessary to (1) investigate, prevent or take action regarding suspected or actual illegal activities or to assist government enforcement agencies; (2) enforce our agreements with you; (3) investigate and defend ourselves against any third-party claims or allegations; (4) protect the security or integrity of our Services (such as by sharing with companies facing similar threats); or (5) exercise or protect the rights and safety of Kordis, our users, personnel, or others.  We attempt to notify users about legal demands for their Personal Information or Company Information when appropriate in our judgment, unless prohibited by law or court order or when the request is an emergency.  We may dispute such demands when we believe, in our discretion, that the requests are overbroad, vague, or lack proper authority, but we do not promise to challenge every demand.  

We may share your Personal Information and Company Information when our business is sold to others, but it must continue to be used in accordance with this Privacy Policy. We can also share your Personal Information and Company Information as part of a sale, merger or change in control, or in preparation for any of these events.  Any other entity which buys us, or part of our business, will have the right to continue to use your Information.
